PRIVACY NOTICE

In accordance with the rules governing data protection under the Data Protection Act 2018 (UK GDPR), this privacy statement has been issued to inform you, as a member of the Law Society Golf Club, of the types of personal information we collect about you, the reasons for processing that information, the lawful basis that permits us to process it and how long we keep it. It also sets out your rights regarding your personal information.

Your personal data – what is it?

“Personal data” is any information about a living individual which allows them to be identified from that data (for example a name, photographs, videos, email address, or physical address). Identification can be through the information alone or that information in conjunction with any other information.

 

Who are We?

This Privacy Notice is provided to you by The Law Society Golf Club which is the data controller for your data. “We,” “Us” and “Our” in this notice refer to that Club.  “Members” means people who are or have been members of that Club. “Third parties” means persons with whom We have or have had contact, eg for the administration of golf matches and meetings, or for the supply of goods or services to Us. “You” and “Your” refer to Members and any other persons whose personal data We hold.

 

What data do We process?

  • Contact information about Members;
  • Golfing information about Members, eg handicap data, records of matches and meetings applied for and played in;
  • Demographic information about Members, eg date of joining the Club, age, date of resignation, clubs of which the Member is or was a member;
  • Information relevant to the process by which a Member joined the Club;
  • Information about payment of subscriptions and of other sums due to the Club;
  • Information about Third Parties so that We may contact them or compare their supply to Us with that of their competitors;
  • Photographs of Members and of events at which Members may be present, and other information which may refer to Members which are held for archival purposes, all being relevant to the history of the Club.

 

How do We process Your personal data?

We will keep personal data up to date; store and destroy it securely; not collect or retain excessive amounts of personal data; keep personal data secure, and endeavour to protect personal data from loss, misuse, unauthorised access and disclosure; and ensure that appropriate technical measures are in place to protect personal data.

 

What are the purposes for which We process personal data?

  • To enable Us to organise the activities of the Club, eg matches and other fixtures in which the Club plays or is represented, including Our own meetings;
  • To arrange appointments and elections of Our officers and of match managers, and of ad hoc committees or groups; to inform members about these appointments and elections;
  • To provide services to Members, including the provision of apparel and other goods relating to the Club;
  • To maintain Our own accounts and records;
  • To seek Members’ views or comments;
  • To send Members communications which may be of interest to them.

 

What is the legal basis for Our processing of personal data?

Our processing of personal data is confined to what is necessary for Our legitimate interests.

 

Sharing personal data

Personal data will be shared with other Members in order that Members may make contact with each other as is appropriate to the Club and sporting purposes of a golfing society. Personal data will only be shared with third parties where it is necessary for the effective management of golfing or social fixtures in which the Club is involved.

 

How long do We keep personal data?

We will keep some personal data permanently if We are legally required to do so. We may keep some other personal data for an extended period of time, eg if that personal data is considered desirable to be kept for archival purposes, eg with a view to the history of the Club being maintained. In general, We will endeavour to keep personal data only for as long as We need it.

 

Your rights and Your personal data

You have the following rights with respect to Your personal data:

  1. The right to access information We hold on You

At any point you can contact Us to request the information We hold on You as well as the reasons for Us to hold that information, who has access to the information and where We obtained the information from. Once We have received Your request We will respond within one month. Note that there are no fees or charges for the first request but additional requests for the same data may be subject to an administrative fee.

  1. The right to correct and update the information We hold on You

If the data We hold on You is out of date, incomplete or incorrect, You can inform Us and Your data will be updated.

  1. The right to have Your information erased

If you believe that We should no longer be Using Your personal data or that We are illegally Using Your personal data, You can request that We erase the data We hold. When We receive Your request We will confirm whether the data has been deleted or the reason why it cannot be deleted (eg because We need it for Our legitimate interests or regulatory purposes).

  1. The right to object to processing of Your data

You have the right to request that We stop processing Your data. Upon receiving the request We will contact You and let You know if We are able to comply or if We have legitimate grounds to continue to process the data that is the subject of Your objection. Even after You exercise Your right to object, We may continue to hold Your data to comply with Our obligations or to bring or defend legal claims.

  1. The right to data portability

You have the right to request that We transfer some of Your personal data to another controller. We will comply with Your request, where it is feasible to do so, within one month of receiving Your request.

  1. The right to lodge a complaint with the Information Commissioner’s Office.

 

Further processing

If We wish to Use Your personal data for a new purpose, not covered by this Notice, then We will provide you with a new notice explaining this new Use prior to commencing the processing, and setting out the relevant purposes and processing conditions.
